Your information belongs to you.

Effective July 28, 2026. This policy explains what RenoMe collects, why we collect it, and the choices available to you.

Our commitment

RenoMe applies the principles of accountability, identified purposes, meaningful consent, limited collection, limited use and retention, accuracy, safeguards, openness, individual access, and a way to challenge our practices.

Where a privacy law applies, we follow it. Where it does not apply, we use these principles as our operating standard.

Information we collect

  • Contact details you provide, such as your name, email, phone number, city, organization, and preferred contact method.
  • Professional, programme, volunteer, mentoring, partnership, sponsorship, employer, or contributor information you choose to submit, including your resume when applying for a volunteer role.
  • Consent choices, referral source, campaign information, and submission time.
  • Basic security and operational records needed to protect forms and keep the website reliable.

Do not include government identification numbers, financial account details, medical records, immigration files, passwords, or other highly sensitive information in an open text field.

Why we use it

We use information to respond to inquiries, assess programme or volunteer fit, coordinate services, manage partnerships, communicate when you have opted in, maintain consent records, improve accessibility and service quality, prevent abuse, and meet legal or safeguarding obligations.

Sharing and service providers

We do not sell or rent personal information. Authorized RenoMe team members and carefully selected service providers may process information only for the purposes described here.

Providers may include website hosting, secure database, email, form, collaboration, and analytics services. We require appropriate confidentiality and security expectations and limit access by role.

Retention

Volunteer resumes are stored privately and made available to authorized RenoMe reviewers through authenticated administration. They are not published as public website files. Application details may be processed in our administration and collaboration services to support review and follow-up.

We keep an inquiry only as long as needed to respond and manage the resulting relationship—normally no longer than 24 months after the last meaningful contact.

A longer period may be required for a program, contract, safeguarding matter, financial record, legal obligation, or your continuing consent. Records that are no longer needed are securely deleted or anonymized.

Your choices and rights

You may withdraw optional communication consent, ask whether we hold information about you, request access or correction, or ask us to delete information where no legal or operational reason requires retention. We may need to verify your identity before completing a request.

Cookies and measurement

The launch site does not use advertising cookies or behavioural profiling. If privacy-respecting analytics are added later, this policy and any required consent controls will be updated before collection begins.

Safeguards and incidents

We use access controls, secure hosting, encryption in transit, restricted administration, software updates, backups, monitoring, and incident-response procedures appropriate to the sensitivity of the information.

No system is risk-free. If an incident creates a real risk of significant harm and reporting duties apply, RenoMe will investigate, document, notify affected people, and report to authorities as required.

For a privacy request or concern, email with “Privacy” in the subject. We will acknowledge the request and explain the next steps. You may also contact the Office of the Privacy Commissioner of Canada where applicable.
